EXW, FCA or FOB? Choosing an Incoterm When Buying from Malaysia

The Incoterm in your quotation decides who pays for transport, who carries the risk, and who handles export clearance. Pick the wrong one and a good price can turn into an expensive surprise. Here is how the three most common terms work for purchases from Malaysia.

What an Incoterm does

Incoterms are standard trade terms published by the International Chamber of Commerce (the current set is Incoterms 2020). They do not cover payment terms or ownership of the goods. They only set out where costs and risk move from seller to buyer.

EXW (Ex Works)

The seller makes the goods available at the factory or warehouse. From that point the buyer arranges and pays for everything: loading, local transport, export clearance, freight and insurance. EXW gives the lowest quoted price, but the buyer carries the most work and the most risk. It suits buyers who already have a forwarder in Malaysia.

FCA (Free Carrier)

The seller delivers the goods, cleared for export, to a carrier or place named by the buyer, for example a container yard or a port terminal. Risk passes to the buyer at that named place. FCA works for any mode of transport, and it is generally the better choice for containerised cargo, because the seller's responsibility ends when the goods are handed to the carrier rather than when they are loaded on the ship.

FOB (Free on Board)

The seller delivers the goods on board the vessel at the named port of shipment, for example Port Klang or Penang, and clears them for export. Risk passes to the buyer once the goods are on board. FOB is meant for sea and inland waterway transport only. It is widely used and understood, so many buyers ask for it by habit.

Which one should you choose?

  • You have your own forwarder in Malaysia: EXW can give the best price.
  • You want a clear handover at a Malaysian port: FCA or FOB at Port Klang, Penang or Johor.
  • You want everything to the destination: ask for CIF or DAP quotations and compare them carefully against the cost of arranging it yourself.

Always name the exact place after the term, for example "FOB Port Klang" or "FCA Penang container yard". The term is incomplete without it.
